A Simple Guide to UAE Employment Visa Renewals

Employment visa renewal is easier when the employer starts before the documents expire.

The process can become confusing because an employee’s immigration record may involve several connected items: the work permit, employment contract, residence permit, Emirates ID, medical fitness result and health-insurance policy.

These records are related, but they are not all the same document.

Who is responsible for renewal?

For a standard employer-sponsored residence visa, the sponsoring employer is normally responsible for arranging the renewal.

The employer should monitor the expiry dates and begin checking the file early enough to resolve missing or outdated documents.

For mainland private-sector employees, the procedure may involve the Ministry of Human Resources and Emiratization as well as the relevant immigration authority.

In Dubai, residence services are generally handled through GDRFA Dubai. In other emirates, services may be handled through the Federal Authority for Identity, Citizenship, Customs and Port Security.

Free-zone employers usually process employment and residence services through their respective free-zone authority.

Start by checking the company file

Before concentrating on the employee’s documents, confirm that the sponsoring company’s own records are active.

Review:

·         Trade license validity

·         Establishment card or immigration file

·         Labor-establishment information, where applicable

·         Authorized signatory details

·         Company contact information

·         Outstanding authority requirements

·         Available visa allocation

An employee’s documents may be complete, but the renewal can still be delayed if the sponsoring establishment has an unresolved issue.

Documents employers should prepare

Requirements can vary, but a standard private-sector residence renewal may involve the following.

Passport copy

The employee’s passport should generally remain valid for at least six months.

Check that the scanned copy is clear and that the employee’s name, passport number and date of birth match the existing immigration and employment records.

Recent personal photograph

Prepare a recent photograph that meets the authority’s specifications. For Dubai private-sector residence renewal, GDRFA identifies a recent personal photograph with a white background among the requirements.

Avoid cropped photographs, casual pictures, filters and low-resolution files.

Medical fitness result

Employees above the applicable age must normally complete a medical fitness examination through an approved center.

Do not arrange the test too early without confirming the permitted process and validity period.

Valid health insurance

Health-insurance requirements apply to residence issuance and renewal. Employers should check that the policy is active, correctly linked and acceptable for the relevant emirate and employee category.

From 1 January 2025, mandatory health-insurance coverage was extended to private-sector employees and domestic workers across all emirates, subject to the applicable rules.

Employment contract and work permit

Review the employee’s job title, salary, contract information and work-permit status.

If the employer wants to change the profession, salary or contract terms, additional documents or a separate amendment may be required.

Emirates ID information

The Emirates ID is connected to the employee’s residence status. Check whether an updated application, biometric step or supporting document is required.

A practical renewal sequence

The exact order depends on the jurisdiction, but employers can expect a process broadly similar to the following:

1.      Review the company’s license and establishment records.

2.      Check the employee’s passport and personal details.

3.      Confirm the employment contract and work-permit status.

4.      Arrange health insurance where required.

5.      Complete the medical fitness examination.

6.      Submit the residence-renewal application.

7.      Complete the Emirates ID process.

8.      Download and securely store the updated documents.

9.      Confirm that HR and payroll records show the new expiry dates.

The UAE’s Work Bundle also brings several employment and residence-related processes together through connected government services.

Common reasons for delays

The passport is close to expiry

A passport with insufficient remaining validity can stop the process before it begins.

The company license or establishment card has expired

Employee renewals depend on the sponsoring company remaining properly licensed and registered.

The employee’s details do not match

Differences in names, passport numbers, nationality information or dates of birth may require correction.

Health insurance is missing or not linked

A policy may exist but still require activation, correction or proper electronic linking.

The job title is being changed

A profession change may involve more than a standard renewal and can require supporting qualifications or approvals.

The medical fitness result is incomplete

The application may remain pending until the approved result becomes available.

The employer started too late

Last-minute processing leaves no time to correct rejected documents or resolve company-file issues.

A grace period should not be treated as a renewal plan. It is safer to complete the process before the current documents expire.

Work permit and residence permit are not interchangeable

Employers sometimes refer to every employment-related document as “the visa,” but the records serve different purposes.

·         The work permit authorizes employment under the applicable labor framework.

·         The employment contract records the approved employment relationship.

·         The residence permit allows the employee to reside in the UAE under the relevant sponsorship.

·         The Emirates ID is the employee’s official identity document.

·         The medical fitness certificate confirms the required health-screening result.

·         The health-insurance policy provides the required medical coverage.

Renewing one item does not automatically mean every other record has been updated.

What should HR do after renewal?

Once the process is complete, update the employee’s internal file with:

·         New residence expiry date

·         New Emirates ID expiry date

·         Work-permit and contract details

·         Health-insurance validity

·         Passport expiry date

·         Medical fitness documentation

·         Copies of payment receipts and applications

Set reminders well before the next expiry date. A shared compliance calendar is much safer than relying on an employee to remember.
